Annual General Meeting

To keep everyone safe, and to abide by our current in-person gathering limits, our Annual General Meeting for 2020 will be held via Zoom  on Sunday April 11, 2021 at 12:00pm (noon). All are welcome to attend.

Please read this post in its entirety to ensure that you are aware of how the meeting will be conducted, how to vote, etc. Included are the agenda for the AGM, Financial Statements, Budget and the link to the Zoom meeting.

About Zoom
Zoom is a video-conference service that is widely used and many other organizations have utilized it to host their AGMs during this pandemic. It can be used inside of your web browser or you can download the app. We recommend downloading the app or setting up a zoom account prior to the AGM.


Your User Name
Please change your username to your first and last name. This will ensure that our counters can establish quorum for the meeting and count votes. If there are multiple members in your household, we ask that each member logs in through their own zoom account.*


Voting
When there is a vote, a poll will appear in the Zoom Meeting. Time will be given for you to complete the poll, which will be taken as your vote for that particular motion. Each poll will present the voting options for that motion. An individual's voting will not be kept on record.

Motions
To ensure clarity during the Zoom meeting, there are formed motions for the membership to vote on in the agenda. If you notice an issue with a motion, we ask that you contact the Board prior to April 9, 2021, so that necessary action can occur prior to the meeting itself.

Due to the limitations of a virtual meeting, we hope that we can stay to the items on hand. Due to these constraints, we humbly ask that new motions not be made unless a motion fails to pass. New motions can be made by the membership in the following manner:

1. A new motion may be submitted via the chat function.
2. A new motion requires a second. If you wish to second a motion, please write 'second' after the motion was made via the chat function.

We ask that all participants refrain from using the chat function for any other use, unless directed.
